Letting an apartment: a different task from renting one
This site is aimed at landlords, not people looking for an apartment. You prepare your own property: clarify usage and availability, classify the rental price, provide evidence of information and organize subsequent communication. There is neither a public advertisement nor an applicant placement here. The worklist above shows tasks that you can check off yourself. The status is a personal preparation aid and not a confirmation that all legal requirements have been met.
Calculate rental price: Asking rent is not comparison rent
Our own rent estimate based on observed listings provides guidance, not an automatically lawful rental price. A rent index and a listing median are different types of data. Check the appropriate local basis and the need for legal assessment before setting a particular rent. List net basic rent, costs that can be passed on, heating and additional items separately in the draft. Where the local model is not ready, DDORF does not fill the gaps with invented values.
Advertise your apartment for free: first create a draft
You can prepare a draft rental advertisement free of charge and without registering. Enter the location, area, rooms, rental components, amenities and your own description. Photos remain local in the browser view; the file for later further processing contains the texts, not the images. DDORF does not publish the draft or send it to an agency portal. If you later want to advertise elsewhere, check the conditions, permitted content and required information there. Publication on DDORF is currently not available.
Looking for tenants as landlords: factual information instead of promises
A clear advertisement explains what is actually being rented, what costs are known and when the apartment is available. Also describe important limitations and open points. Avoid unsubstantiated superlatives or descriptions that mislead interested parties about area, condition or cost. Good preparation can reduce queries; it does not guarantee a suitable tenant or a specific period of time. DDORF does not post a search ad and does not promise successful rentals.
Prepare viewing and tenant selection
Organize appointments and comparable, factual questions about the tenancy agreement. Clarify which information is really required at which stage, instead of preemptively requesting complete collections of documents from each person. Please note the rules on equal treatment and personal data that apply to the specific case. This site does not rank applicants or carry out a credit check. Unclear legal issues should be examined before using a selection rule.
Rental agreement, deposit and handover of the apartment
A draft advertisement is not yet a rental agreement. Clarify the type of contract, cost regulations, deposit, condition and subsequent handover appropriate to the property. General templates are not suitable for every special situation. Record actual meter readings, keys and outstanding work upon handover; Unsubstantiated information from the advertisement should be corrected beforehand. DDORF neither accepts payments nor issues a deposit or contract confirmation.
Rent or sell: compare your own scenarios first
If the decision is still pending, separate possible sales proceeds from future rental surpluses. Take into account your own costs, default assumptions, remaining debt, reserves and the period under consideration. Use the existing calculation tools as scenarios, not as investment recommendations. The decision also depends on effort, condition and personal plans. After an apartment estimate, you do not have to leave any contact details or place a brokerage order.
Rental agreement and termination: no blanket template
Clarify the tenancy type, actual use and special protection rules before termination. Where § 573 BGB applies, ordinary termination by the landlord requires a legitimate interest and the reasons must be stated. Completing a generic template confirms neither valid grounds nor the deadline, form or receipt. DDORF therefore does not provide an automatically effective termination notice. Organise the contract, amendments and specific facts for an individual assessment.
Prepare operating cost statements: receipts instead of estimates
Organize the relevant contract, billing period, specific cost receipts, distribution key used and advance payments actually made. Separate agreed flat rates from advance payments to be billed and private calculation scenarios. A rental budget or a rent estimate is not an operating cost statement. Check allocable items, deadlines and special cases separately; DDORF does not create a legally verified billing here.
Furnished, shared-flat or commercial letting: choose the relevant guide
A normal apartment advertisement does not cover every type of use. For furnished apartments and rooms in shared flats, the existing guides explain inventory, contractual issues and cost components. Commercial premises require different documents and a separate inspection. These information pages do not constitute publication, mediation or approval of their respective use.
Letting a house: prepare outdoor areas and the handover
Garden and outdoor areas
Record which areas, equipment and keys are included. Discuss maintenance and access before preparing the tenancy agreement.
Winter maintenance and running costs
Clarify who will look after paths and driveways. Separate the base rent, operating costs and utilities paid directly to suppliers. Check separately which duties and costs may be agreed in the tenancy.
Energy performance certificate and house handover
Check the existing energy performance certificate and the required information before publishing an advert. At the handover, also record meter readings, heating, ancillary rooms, outdoor areas and the keys handed over.
Apartment handover: document the condition together
An apartment handover record helps landlords and tenants document the same observations when moving in or out. Work through each room, record meter numbers with units, and count the keys. Clearly link permitted photographic evidence to the relevant items; do not store unnecessary identity documents or other people’s private records. The record does not automatically confirm that the apartment is free of defects and does not determine liability or the deposit.

Frequently asked questions about preparation
Can I use these preparation tools for a house too?
Yes. Add outdoor areas, ancillary rooms, the heating system and responsibilities to the rental listing draft and handover record. The tools help you prepare; they do not publish an advert, find tenants or provide a legal review.
Renting out an apartment without an agent: how do I start?
Start with documented property details, separate rent components, a factual draft and a planned schedule. DDORF tools organize your preparation; they do not publish advertisements or arrange lettings.
Finding tenants for free: does DDORF arrange lettings?
No. You can use the checklist and rental advertisement draft for free. This tool does not collect, screen or assess prospective tenants or pass their details to landlords.
Calculating the rent without registering: is this a permissible comparative rent?
The available rent estimate does not require an agency instruction, but does not replace a legal review of the specific rent. Official comparison data and our own analysis of advertised rents are distinct types of data.
Renting out an apartment privately: do I have to collect application documents immediately?
First plan the process and which factual information is actually necessary in which phase. A precautionary collection of all personal documents is not part of this tool. Data protection and equal treatment must be taken into account separately.
Advertise an apartment: where will the draft be published?
It is not published anywhere automatically. The file and text remain your working documents. Before publishing later, check the platform, usage rights and required information yourself.
Distinguish the rent brake from the limit on rent increases
Before a new letting, check the permitted initial rent and possible exceptions. The DDORF rent-brake check currently supports Düsseldorf only and does not replace an assessment of your individual case.
The cap on rent increases applies to certain increases under an existing tenancy, rather than to every new initial rent. Keep these two assessments separate.
For individual apartments, a supported local model is required. Approved single-family and two-family home models have a separate calculator. These calculators do not automatically value plots or entire apartment buildings.
Selling a house or apartment privately: check the documents, prepare a factual property brochure and document the handover. No contact form or agency instruction.
Becoming a landlord: Prepare the contract, costs and open questions
Renting out an apartment privately means planning property details, rental components, appointments and ongoing obligations together. The preparation does not replace a checked contract or the examination of a specific tenancy agreement.
step 1
Collect documented information
Organize the area, usage rights, condition and availability. First prepare the rental draft with your own or permitted images.
step 2
Separate rental components
Do not record net rent, operating costs and any additional agreements as a single, unclear sum. Check the offered rent and the legal basis for comparison separately.
step 3
Plan appointments and data collection
Have the same factual property information available for interested parties. Only request personal documents appropriate to the respective phase and for a clear purpose; Do not include copies of ID cards in an exposé.
step 4
Contract and handover
Check suitable contract documents, deposit and apartment handover. A furnished apartment, shared apartment or temporary rental requires a separate classification.
Frequently asked questions about preparation
Rental agreement for landlords: is a free sample enough?
A template can be a starting point, but must suit the property, the parties and the intended agreements. Note unclear clauses and special cases for professional review. DDORF does not provide a tenancy agreement certified as legally compliant or an automatically reviewed contract.
Tenant credit check: what does DDORF offer?
This tool does not obtain SCHUFA credit reports, assess applicants or perform credit checks. An applicant’s self-disclosure is not automatically verified proof of creditworthiness. Clarify the purpose, timing, necessity and handling of the intended data before requesting documents.
New landlord, new rental agreement?
When a tenanted residential property is sold, the buyer takes over the tenancy under the conditions of § 566 BGB. A change of ownership is therefore not a blanket reason to reset all terms. The existing documents and specific circumstances must be reviewed.
Letting an apartment temporarily: does an end date establish a valid fixed-term tenancy?
An end date in the draft does not yet clarify the legal nature of the contract. Furnishing, planned stay and subsequent use are separate questions. Describe the actual purpose and have the appropriate agreement checked; there is no general exception based on the word furnished alone.
Terminating a rental agreement as a landlord: is a template enough?
Ordinary termination of a residential tenancy generally requires a legitimate interest under § 573 BGB; termination to raise the rent is prohibited. A template does not replace checking the reason, formal requirements, notice period and possible objections. DDORF does not generate a termination notice for a specific case.
Letting an apartment: prepare for taxes and ongoing costs
Income from letting real estate generally falls under § 21 EStG. Organize income, operating costs, financing and maintenance separately, with dates and supporting documents. A monthly surplus is not automatically the taxable amount. Which expenses can be taken into account in which period depends on the individual case; DDORF does not calculate your personal income tax.
Legal starting points: § 566 BGB, § 573 BGB and § 21 EStG. General preparation, not an examination of your individual case.
Sales, valuation and rental price in your city
Use the existing location pages. Automatic estimation is only available if the model is supported. Not every location and not every type of object is approved for this.
